Examples of Where and How to Store Electronic Document Files

- On network file server hard drive, CD ROM, RAID or optical juke box
- On Stand alone computer hard drive, CD ROM, RAID or optical juke box
- Self contained CD ROM with all images, files, database run time software engine, viewing software, etc. This is very portable. To use this information, a Windows based PC with a CD drive is all that is necessary. Hard drive installation is not required.

Ways To Search for Documents |
- Search/Query a database of indexed documents, photos, CAD files, word processing files, spreadsheet files, etc. Indices of images are searchable, descriptive information about a file or image such as a drawing number, a job name or number, a verbal description, a revision number. Search by keyword or specific indexed information.
- "Hotlink" all types of files and images to any other files, images, programs, etc. Point and click method of search and retrieval. Can be used with or independently of conventional type of database mentioned above.

Steps Required to Set Up and Convert Documents
into a Digital Repository |
- Locate, sort, purge, mend as needed, and prepare drawings, documents, photos, etc. to be scanned. Also collect existing electronic files such as CAD files, word processing files, spreadsheet files, etc.
- Scan paper, film, documents into a temporary repository.
- Index scanned and other files with search parameter and/or.
- Hotlink entities in documents that will automatically link (by pointing and clicking) the user to other drawings, documents, files, programs, sound bites, etc.
- Burn to CD ROM or load to hard drive or server.
